Campaigns

All outbound communications are located within different ‘Campaigns’ under the Outreach section of the EMP. There are three types of campaigns available, with each campaign type having specific ways communications are handled. The three campaign types are: Nurture, Blast and Event. Each campaign type has ‘Tracks’ assigned to it. Under each track is where individual emails, print pieces are setup. Within each campaign track, there are multiple ‘Tiers’ which determine the exact time the emails or print pieces should launch.

New Campaign

To create a new communications campaign, click the top right button on the Emails page labeled ‘New Campaign’. This will open a dialog with several options. The name option is what the campaign will be named and displayed as in the system. Make sure to label your campaign something unique and memorable for enhanced organization. The second option determines the type of campaign it will be.

Nurture Campaigns

These are unique for two reasons. First, nurture campaigns are segmented by entry year. All emails, print pieces, and messages within a campaign will only go to those student records who have the corresponding entry term or year. Second, the emails in nurture campaigns are only sent when a student record meets certain criteria relating to their stage and when they received a previous communication. If creating a new nurture campaign, an additional option will appear. This option, labeled ‘Entry Year’ will determine which entry year this campaign should go to.

Blast Campaigns

These campaigns are traditional blasting campaigns. After attaching a selected group, the email or print will blast out to the group at the desired time. Blasts are not segmented by entry year.

Event Campaigns

These are used for event promotion and follow-up communications. Email and print in an event campaign only go to student records who were invited or have registered or attended the corresponding event. If an event campaign is selected, an additional option will appear. This option, labeled ‘Event’, will determine which event invitees this campaign should go to. Creating a new Event Campaign will also create four tracks automatically with the same group and stage filters as the Event. The four tracks created are: Invitations, Signup Reminders, Thanks for Attending and Did Not Attend. Each track has special filtering options based on a students actions with the Event.

Click this to view performance statistics for this campaign.

Edit Campaign

Click this to edit the name of the campaign. Nurture campaigns will have the option to change the linked Entry Year.  Event campaigns will have the option to change the linked Event.

Copy Campaign

Clicking this will create an exact copy of the campaign and all associated tracks.

Archive Campaign

Clicking this will disable all active communications within the campaign and transfer them to the ‘Archived’ campaign tab.

Delete Campaign

Clicking this will delete the campaign, associated tracks and communications, tracking and performance information and student record interaction histories with the deleted communications. A confirmation dialog will appear before being able to permanently delete a campaign of any type.

Add Track

Add Track

To add a track to a campaign, click this button. A dialog will appear to enter the details of the new track. All tracks regardless of campaign type can have group and/or stage filters applied to them. By selecting a group, the track communications will only send to people within the selected group. If stage filters are selected, then the track communications will only send to people within the selected stages. If both a track and group are selected, then the track communications will only go to student records who fulfill both criteria. Tracks added to event campaigns also have an additional date option. Event Campaigns have four default tracks created with the campaign that go out for all Event dates. A new track added to Event Campaigns will turn off the automatically  generated tracks for the date specified in the new track. The special filtering options for the auto generated tracks will be available for use in the custom track.

Clicking this will show or hide its associated tracks.
