Asset Types and Assets
Asset and Asset Types are a powerful functionality within the EMP that enhances students’ direct access to relevant information. Asset Types are categories of Assets, and values on the formfill that provide baseline information about a student’s intended activity at your school. Common Asset Types include Major, Sport, On-Campus Activity, Campus and Degree Program. These Assets represent intended aspects of a student’s educational journey and will be specifically reiterated in web, email and print as a focal part of their personalized campaign.
Adding Asset Types
To create Asset Types, add Assets to them, monitor their completion and publish them, you will use the Asset section of the Content Builder page. The associated Asset Types are all located on the bottom left portion of the Builder Menu column.
All Asset Types Page (Asset Manager)
The main control page for your Asset Types and Assets is the All Asset Types Page. This Page allows you to easily view the status of each individual asset and move assets between Asset Types. It also allows you to Publish or Unpublish Assets, which is to say, render them visible or invisible to students on their PURL and formfill without permanently removing any information or prematurely displaying incomplete information.
To Publish an Asset on the All Asset Types Page
Click the ‘Publish’ checkbox on the right side of the Asset row and you will see a blue box with a black checkmark, indicating ‘Published’ status. The contents of the Asset are now visible on PURL pages and the Asset will appear in the Asset Type drop-down menu on the Inquiry Form and Application if the Asset Type is a component of either. You can easily publish all assets by clicking the ‘Publish All Assets’ button on the top right of the All Asset Types page.
To Unpublish an Asset on the All Asset Types Page
Click the ‘Publish’ checkbox on the right side of the published Asset row you would like to Unpublish. The blue box with a black checkmark will disappear, indicating ‘Unpublished’ status. The contents of the Asset are now invisible on PURL pages and the Asset will not appear in the Asset Type drop-down menu on the Inquiry Form and Application if the Asset Type is a component of either. You can easily unpublish all assets by clicking the ‘Unpublish All Assets’ button on the top right of the All Asset Types page.
To move an Asset into a different Asset Type group
If you would like to redesignate the Asset Type associated with an Asset without recreating the Asset, you can move it on the All Asset Types Page. Simply grab the grey double-headed arrow on the left side of the Asset row and drag under the appropriate Asset Type.
To determine outstanding elements of an Asset
If you would like to see an overview of your assets in term of the completion of their content, the All Asset Types Page lists ‘Photo’ and ‘Primary Copy’ icons for every Asset Row. If the icon is green, there is saved content for that content type in that Asset. If the icon is red, there is no saved content. At the top of the All Asset Types Page, there are also text alerts that show how many Assets have missing copy in both Published and Unpublished states.
How to Create a New Asset Type

Creating a new Asset Type allows you to both generate a new Asset category for students to select as well as a new variable piece of student data for web, email and print. You will then need to populate this Asset Type with a comprehensive list of Assets.
On the Content -> Assets Page, locate the New Asset Type button, on the right side of the page.

In the dialog that opens, name the new Asset Type.
Use the check box in the dialog to assign this Asset as one of your 10 active variable fields if you would like to use it in communications
Note: You can edit an Asset Type’s name or delete an Asset Type by using the Edit (pencil) and Delete (trashcan) icons to the right of the Asset Type name on the Content Page. Deleting an Asset Type will remove all assets and fields related to it, including any asset type dependencies. The Majors Asset Type cannot be deleted.
How to Create and Edit a New Asset
Assets—the individual items within Asset Types—offer extensive content areas that allow you to associate various text, image and video fields with them. Depending on how you use your Viewbook Builder Page Templates, these content areas can be shown in various configurations on the PURL page. On any Asset-associated PURL page, students will land on their selected Asset, with the ability to traverse other Assets via a dropdown menu.
To Create a New Asset

• Under the Asset Types bold header in the Content Page Builder Menu on the left side of the page, click the asset type to which you would like to add a new Asset.
• On the main Builder page of your selected Asset, locate the ‘Select an Asset’ dropdown menu. To the right of the menu, you will find an Add (+) icon.

• Click the Add (+) icon to open a dialog where you can name the new Asset as it will appear to students. You can also assign the Asset Type to which the new Asset will be added, with the current Asset Type you’ve navigated to serving as the default.
To Edit an Asset

Locate the Asset you would like to edit within its designated Asset Type and click it once to load it into the Builder page.
Asset Types
Photos

Click “Browse” to open a navigator where you can select the photo to upload. Photos larger than 500x500 px will be sized down to those dimensions. You can upload a Primary Photo and a Secondary Photo.
Videos

Paste or type in the address of a Youtube or Vimeo video to display the video in the in-page player. You can display a Primary Video and a Secondary Video.
Dynamic Banner

Allows you to display an alternate PURL page banner based on an Asset. Typically, this is used to show program-or-campus specific information automatically within the design of the PURL. Click “Browse” to open a navigator where you can select the banner image to upload. The recommended dimensions are 1240x158 px. If there isn’t a Dynamic Banner, the default banner will display.
Click Save. If the Asset is ready to display, when you return to the Asset Manager page, you can also click Publish.

Note: We recommend using a uniform extent of the options on Asset Pages with material you have consistently available across your Assets, as discrepancies in the amount of information displayed will be conspicuous to students scrolling through different Assets on their PURL page.
Secondary and Supplementary fields (Testimonial Copy, Secondary Photos and Video, etc.) are a great way to add additional information for an asset. Some examples of how they are used are for Coach Biographies in Column 3 of a Sports Page, or Recommended Reading in a Majors Page. If you would like to use these features, ensure that the template you select has Widgets for each of these content types—they will display the same name.
To Delete an Asset

While Unpublishing an Asset will effectively remove it from student access and allow you to return it to an active state later, you may choose to completely eliminate the Asset by deleting it. At the bottom of the Asset builder, next to the Save Button, you will find a red Delete button. Click that to delete the Asset.
Note: Students MUST have an Asset designation for active Asset Types within the system, even if the Asset indicates a general option (e.g. Undeclared for Major). When deleting an Asset, you must choose another asset to take the place of the asset being deleted. This causes all students who had the previous asset to be reassigned to a new valid option.
