The Viewbook section of EMP’s Content Builder is the central control area for the creation and manipulation of student PURL pages. It is a robust, feature-laden section of the EMP that, when mastered, allows for the leveraging of student record information into a highly personalized, highly effective enrollment environment that adapts to student activity in real time, delivering eminently relevant information and driving them further into the conversion funnel.

To create, control and modify PURL pages in EMP, you will use the Viewbook Builder section of the Content page. The Viewbook page has several sublayers that allow you to edit content, but the main page is fairly simple to navigate and consists of two main sections: Navigation and Your Pages.

Navigation

The Navigation section of the Main Viewbook Builder page serves to:

Allow you to order and re-order Pages as they appear in the student-facing left-side navigation menu on a PURL page

Provide controls with regards to which students can view which pages based on pre-defined Groups

Create off-page links in the student-facing left-side navigation menu on a PURL page, opening a new browser tab for a page not intrinsically contained on the PURL

Assign a specific Home page for student PURL

Your Pages

The Your Pages section of the Main Viewbook Builder page serves to:

• Allow you to build and manage Pages that will appear on student PURL

• Edit page information and templates for Pages that will appear on student PURL

How to use the Navigation column to re-order PURL pages

How to use the Navigation column to re-order PURL pages

The most immediate use for the Navigation column is the re-ordering of the PURL page menu on the left side of the PURL page. The order that pages appear in the Navigation column, from top to bottom, directly corresponds to the appearance of these Page menu items of the PURL page. For navigability and priority purposes, we recommend that pages that contain the most actionable or valuable information—Apply Now, Visit Registration, Major, etc.—are ordered towards the top of the menu, with supplementary pages lower down.  

When new pages are created in the Your Pages column, they automatically appear at the bottom of the Navigation column, and correspondingly, the bottom of the Page menu on student PURLs. Since these two placements are directly related, the Navigation column houses the functionality to adjust the order.

To move a Page up or down in order

Click and hold the double-headed arrow on the left side of the Page item in the Navigation column.

While the arrow is ‘grabbed’, drag it into the new position of choice relative to other pages.

Release. Your Page is now reordered and will be immediately visible on all PURL pages as such upon a page refresh of the PURL.

Important Points to Note

Pages not assigned to a student PURL by Group will not appear in their PURL menu. So, when ordering, keep in mind that the order of Pages may appear different on different PURLs, depending on student Group qualification. If the page is deliberately hidden from a student, the menu will bypass the item and display the next active Page down.

All edits to PURL pages in the Viewbook Builder are immediately visible across all qualifying PURLs upon refresh. If you are editing any information about PURL pages in either the Navigation column or the Your Pages column, keep in mind that those changes will be in effect in real time.

How to change the Homepage

By default, the Landing Page on all PURLs is the ‘Home’ Page. However, if you would prefer that students are brought to a different page when initially visiting their PURL or visiting from an email link, this can be done with the Navigation menu.

Find the Page you would like to designate as the new default Home Page in the Navigation column

Click the black-and-white star to the left of the Navigation Page item

The new Home page will be indicated as a fully yellow star and visitors to PURL pages will now land directly on that page

Important Points to Note

By design, the ‘Home’ Page is a specially customized Page with functions that reinforce its utility as a Landing Page, unique from all other Pages. We will visit these topics in depth in “How To Use The Home Page” but would like to recommend that, unless there is a very strategic reason to alter the Landing Page, that the Home page be used.

The Navigation column also houses off-page links which, when clicked in the PURL menu, open a new tab and bring students to another website. These links cannot be assigned as a default Landing Page.

How to Create an Off-Page Link

If you would like to drive a student to a different website than their PURL for any reason, you can easily do that as a clickable menu item. Cosmetically, it will resemble a typical PURL menu item. When clicked, a new tab will open in the visitor’s browser to load the link.

Locate the Add (+) icon to the right of the ‘Navigation’ header atop the Navigation column

Click the Add (+) icon to open the External Link dialog

Enter the required information:

Label: The wording as it will appear on the menu item on student PURL pages (e.g. Local Airports, Your Financial Aid Questionnaire)

URL: The actual web address to which this menu item will point

Filter:  Allows you to select which Group of students will see this link (defaulted to No Filter).

Once the information is completed, click ‘Submit’. The Off-Page link item will now be added to the Navigation column at the bottom of the column, and can be reordered by grabbing and dragging the handle as if it were a typical PURL page.

Important Points to Note:

Off-Page activity is not trackable through the EMP. While you can see that a student has clicked to visit an Off-Page link in their Student History, you cannot track how they utilize that page. If the information is within your capability to translate into a PURL Page, it will allow you better insight into student activity.

How to Display Pages to Specific Groups of Students

Relevance and personalization are at the heart of all Spectrum marketing, and the EMP’s ability to display different pages on student PURLs based on their unique identity represents the apex of how those disciplines can be directly. By using EMP Groups and Stages to Filter pages, you can automatically regulate what information is displayed to each record. You can even make pages dynamic for the same PURL, so if students accomplish certain tasks or other conditions change, so will their PURL Pages.

Some examples of how this can be applied include pages that display directions to your school. By your discretion, you can make two groups of student—those likely to fly and those likely to drive—and create two different versions of your directions page that accommodates either condition. Another example could be for accepted students to see a new Page that appears upon their acceptance that displays a letter from the President of your school welcoming them to campus. There are limitless applications for Page Filters.

Locate the Page in the Navigation column that you would like to show to a filtered set of students.

Click the Edit (pencil) icon on the right side of the Navigation item to open the Edit Navigation Link dialog.

From the Filter drop down menu, select the Group of students to whom you would like this page to display.

Click Submit.

Review the Navigation item. Underneath the item, there will now be indicator text reading “Only showing to:” followed by the name of the group you selected group, which can be clicked and reviewed.

Important Points to Note:

If you would like to modify the Group assignment for a filter, simply repeat the process and select a new group.

Groups must be created prior to attempting to Filter a page.

Groups naturally change as students enter and pass through them. Be sure that any vital information is either filtered to be available through the entire tenure of its relevance or do not filter it at all unless the information is available elsewhere or on another version of that Page.

Pages, by default, are not filtered and shown to all records. If you choose to filter a page, that limits the number of students who can see that information to a defined group. If you are choosing to filter a page for two or more complimentary sets of students representing the entirety of your records, be sure to provide iterations of the Page for every subset.

You can remove Pages that have been created in EMP from the menu on the student-facing side of the PURL. Once deleted, the Page will not appear on the PURL menu for anyone.

Find the Page you would like to delete in the Navigation column

Click the Delete Page (trashcan) icon on the ride side of the Navigation Page item

The page is now deleted and will no longer be displayed in student PURL menus

Important Points to Note

Deleting a Page from Student Navigation is non-destructive and does not permanently delete the content of the deleted page—it only removes it from student navigation. This is intentionally constructed to allow you to remove and reinstate pages easily, in the event that the removal of a PURL menu item is conditional or temporary (such as a seasonal message that you would like to reinstate year after year).

You cannot delete the Landing page.

Once you have deleted a PURL page, observe its corresponding item in the Your Pages column and locate the new ‘Pin to Navigation’ icon that has appeared next to it.

Click the ‘Pin to Navigation’ icon.

The Page is now re-instated to the Navigation column and, thus, to PURL menus. Grab the handle and drag the Navigation item to your preferred position (re-instated items are, by default, generated at the bottom of the Navigation column and not to their original location in the order).

Your Pages

The components of the Your Pages column are as follows:

 

The Add a Page (+) button: allows you to add a new page

 

Page Label: Name of the Page as it appears on student PURLs

Page Type: Type of page and associated features

Manage Button: Allows you to edit the contents of a page

 

Edit (pencil) icon: Allows you to edit Label, Asset and Template of a page (note: this icon only appears when you hover your cursor near the Page item)

Types of Pages

Landing Page

The Landing Page, by default, is the Home Page, and has a number of unique functionalities, including a scrolling event banner, three alternate page iterations and private social network log-in info.

Events Page

The Events Page is a special module that populates entirely with information from the Calendar and cannot be directly edited through the Viewbook Builder.

Application Page

The Application page houses your application and presents all the features to fully integrate your application online. It is automatically populated by the application as it was built in the Application Builder and attempting to edit the Application page will bring you to the Application Builder.

Widget Page

The only kind of page you can manually generate in the Viewbook Builder, a Widget Page can use Asset information as well as static information to present text, photos, videos, checklists, social media feeds and more. Our exploration of page building will center on Widget Pages.

Creating a New Page

When you are creating a new page, you will have many options to edit the content at any time. However, some adjustments will require wiping the standing content from the page, and so it is best to have a prepared idea of the kind of content you would like to feature on a page before you begin building it.

Click the Add a Page (+) icon to the right of the Your Pages header to open the Save Page dialog

Complete the information on the Save Page dialog

Label: The name of the page as it will appear on a student’s PURL

Assets: If the page is intended to display Asset content, this drop down designates which Assets will be called.

Template: Allows you to select a premade Template for content areas.

Click ‘Submit’. Your newly created page will be sorted to the bottom of the Your Pages column

Click the ‘Manage’ button on the to the right of the Page label to open the Page Preview page to edit and add content

The Page Preview page houses all of the functionalities to edit and display information on PURL pages.

To the right of the Page Preview header, you can see the name of the Page you are working on. This can be edited in the Your Pages column.

Asset Type & Fallback

Asset Type & Fallback

Displays the Asset Type associated with the Page, as it was designated when the Page was created. This can be edited in the drop down with two fallback options. Fallback options display information from other Asset Types in the event that an Asset definition is missing in a student’s record. For example, on a Major Page with Sport as the selected fallback option, students with Major defined in their record will see the major information. If a Major definition isn’t available, the page will serve information about the Sport, as the selected fallback option, to prevent the page from appearing blank. You can select two fallback options, in the event that both the chosen asset and the first fallback fail.

Switch Templates

Allows you to select an alternative template for the Page than what was initially selected when the Page was created. Note that switching to a new template erases any content that had previously been put on the page.

To Edit the Content of a New Page

Click the ‘Manage’ button on the to the right of the Page label to open the Page Preview page

Note that the content fields in each column reflect the chosen template. Before you begin to edit the page content, make sure these are the appropriate content fields. Content fields with no content will not display, but you cannot manually add content fields to a page, only to templates. To switch templates, click Switch Templates at the top right of the page. Changing a page template once content has been placed onto the page will erase all content.

Hover your cursor over the widget that you would like to edit and note that the Edit (pencil) icon appears. Click the icon to open the editing dialog and edit appropriately. Any areas of the widget that display a red asterisk are required.

Content Widgets

Content Widgets

Content Widgets house the text, images and video on PURL pages. The two principal types of Content Widgets are Static and Asset. Static Content widgets can be edited directly in the Page Preview builder. Asset Content widgets are populated with content defined in the Asset builder.

Static Content Widgets

Static Image – Allows you to upload an image. Note that the image will be constrained to the width of the column, and EMP will not reduce un-optimized file sizes. To upload an image, click the Edit (pencil) icon and then click Choose File. This will open up a file selection dialog allowing you to select the desired .jpg, .gif or .png you would like to upload. Select the file and click Save. The name of the file will convert from the native name to the server name, indicated by a long string of alphanumeric characters.

Static Text – Allows you to create text content. Click Edit (pencil icon) to open the Static Text editing dialog. You can enter text into the main field and control the design with the formatting panel. Additionally, you can apply styling defined by the Web Campaign builder for typical html text designations (<h1> through <h6>, <p>, etc.) using the Format drop down menu, include Variables defined as fields in EMP, edit directly in HTML coding format, and utilize an in-process spell check feature. Pasting HTML embed codes for things like Google Maps into the HTML editor allows you to house those elements in the Static Text box.

Static Video – Allows you to display video content from Youtube and Vimeo. Enter the URL of the video and click save.

Static Content Themes – Splits the column into two halves, providing space for text next to an image. Both are edited in the same manner as described above. Theme One places text on the left and images on the right. Theme Two places images on the left and text on the right. An image must be uploaded for the text to display.

Asset Content Widgets

Asset Image – Displays an image uploaded to the Page’s associated asset. Click the Edit (pencil) icon to open a drop-down menu allowing you to select the image you would like to display as it was designated in the Asset Builder (Photo 1 or Photo 2).

Asset Text – Displays text as it was created and formatted in the Page’s associated asset. Click the Edit (pencil) icon to open a drop-down menu allowing you to select the text block you would like to display as it was designated in the Asset Builder (Primary Copy, Secondary Copy, Testimonial, Additional Copy 1, Additional Copy 2, Additional Copy 3).

Asset Video – Displays a video indicated by the Page’s associated asset. Click the Edit (pencil) icon to open a drop-down menu allowing you to select the video you would like to display as it was designated in the Asset Builder (Video 1 or Video 2).

Asset Changer Themes – Splits the column into two halves, providing space for text next to an image. Both are edited in the same manner as described above. Theme One places text on the left and images on the right. Theme Two places images on the left and text on the right. This also allows the student to change the asset being viewed.

Display Widgets:

Display Widgets do not require you to enter custom text, images or videos like Content Widgets. Display Widgets are mostly used to load content from other websites or from other sections of EMP.

 

Checklist

Checklists are created in the Checklist builder. When editing in the Page Preview builder, you will be provided a drop-down menu to select which of your checklists you would like to display. Select your desired Checklist and click Save.

Facebook Connect

Controls Facebook feed and face display features. To edit:

Facebook Page

Enter the URL of your institution’s official Facebook Page. Click edit. Enter. Save.

Show Stream

The option to display the Facebook stream of stories and updates from the last 30 calendar days. If your Facebook stream is not regularly updated, we recommend turning this feature off. Click Edit. Choose ‘Yes’ or ‘No’. Save.

Show Faces

Show Faces – The option to display faces of the Facebook users who have liked your page (2 rows of 4, randomly pulled from Facebook). Click Edit. Choose ‘Yes’ or ‘No’. Save.

Facebook Like

Displays the Facebook Like (thumbs-up) icon. Enter the URL of your institution’s official Facebook Page. Click edit. Enter. Save.

Rep Info

This widget is populated and configured by information in the User Profile and cannot be edited.

RSS

Controls RSS feed and display. Accepts RSS and Atom feeds with parameters specified by Google’s feed API.

Feed URL

The URL for the RSS or Atom feed. Must begin with http://www. Enter the URL of the feed. Save.

Site URL

A link to your main website. Enter the URL. Save

Number of Posts

Allows you to designate the number of posts from your feed at any given time. We recommend 5.

Header Image

Allows you to upload an image for the top of the feed. Click Edit. Click Choose File. Select a .jpg, .gif or .png. Click Save. The image is saved when the original name displays as a string of characters.

Displays small social media icons linking to different social media feeds.

Facebook url – Enter URL in the format of: http://websiteurl.com/somethingelse. Save.

Twitter url – Enter URL in the format of: http://websiteurl.com/somethingelse. Save.

Google+ url – Enter URL in the format of: http://websiteurl.com/somethingelse. Save.

Youtube url – Enter URL in the format of: http://websiteurl.com/somethingelse. Save.

LinkedIn url – Enter URL in the format of: http://websiteurl.com/somethingelse. Save.

Twitter

Controls Twitter feed and display.

Username – Enter your institution’s official Twitter Username. Note: You do NOT need to prepend the Username with @.

Number of Tweets – Number of most recent tweets you would like to display. Defaults to 3.

Theme – The color settings designated by Twitter’s API. Can be Dark or Light. Defaults to Dark. Enter your preference and click Save.

How to Use the Landing Page

There are several Page Types that have special properties, such as only being visible to certain stages or displaying content created in other areas of the Content Builder (including the Events Page and the Private Social Network Login). The Landing Page is one such page.

Special features are as follow:

Automatic scrolling event banner generated by the Calendar

Apply Now button launching the integrated application

Automatic messaging adjustment when stage is promoted

A main page and two alternates to display to sub groups

What this amounts to is that within the single Landing page item in the Your Pages column, you can potentially house 12 separate iterations of the same Landing page – split by stage and alternate pages.

To Edit the Home Page

Editing the content of the Home page is no different than editing the content on any other Widget page, and carries a standard template.

In the Your Pages column, locate the Manage button associated with the Home page.

When you click the Manage button, note that a drop-down menu for Inquiry, Applied, Accepted and Enrolled. Select the stage that you would like to edit.

To Create an Alternate Page

Typically, Alternate Pages (Alt. Pages) are utilized to customize messaging to different groups of students within the same stage when they would benefit from refined information. This might include Alt. Pages for Freshmen, Transfer and International student, or perhaps In-State and Out of State. You are limited to 3 versions (the Default and 2 Alt Pages) of the Home Page per stage.

In the Page Preview page where you edit PURL content for the Home Page, note that the label “Default Page” is displayed in the upper left corner, indicating that all students not subdivided into groups used by the Alt. Page will view this as their home page.

Above Column 2, note the toggle between Default and + Add Alternate Page.

Click + Add Alternate Page

In the dialog that opens, designate the Group to whom you intend to view this Alt. Page.

Edit the content accordingly

Note that the entire page must be edited, as elements do not carry over from the Default to the Alt. Pages

You can view your Viewbook templates from the content tab. This will list out your template name, and what is present in the left, right, and center column.
