Tracks
Tracks are collections of emails and print pieces that go to certain groups of students. A single campaign has multiple tracks, and each track has multiple emails or print pieces. All tracks regardless of campaign type can have group and/or stage filters applied to them. By selecting a group, the track communications will only send to people within the selected group. If stage filters are selected, then the track communications will only send to people within the selected stages. If both a track and group are selected, then the track communications will only go to student records who fulfill both criteria. Tracks added to event campaigns also have an additional date option. Event Campaigns have four default tacks created with the campaign that go out for all Event dates. A new track added to Event Campaigns will turn off the automatically generated tracks for the date specified in the new track. All of the special filtering options for the default event tracks will be available for use in the custom track.

View Track Stats

Click this to view performance statistics for this track. See “Statistics page” on page 46 for more information on email statistics.
Copy

Clicking this will create an exact copy of the track and all associated communications. A Track can be copied into the same Campaign or a different Campaign. If a different campaign is selected, a dialog with other campaigns will be displayed. A track can only be copied to Campaigns of the same type.
Delete

Clicking this will delete the track, associated communications, tracking and performance information and student record interaction histories with the deleted communications. A confirmation dialog will appear before being able to permanently delete a Track.
Edit

To modify the communications within a track, either click the blue Track name or click the edit button.
Modifying Existing Email or Print Pieces

The details of any email or print piece can be edited by pressing the ‘Edit Details’ button on the desired email or print piece. This will open a dialog with the same options as the ‘New Email’ option, all of which are editable. A print piece or email can be moved from one Tier to another or to a different position within the same Tier. Do so by clicking and dragging the double arrow icon in the top right corner of the email or print piece. Emails can only be moved if they have not yet been sent.
Edit Details - Email Limits

Prospects that have not opted in can be excluded on marketing emails. When creating an email there will now be a checkbox that says 'Exclude prospects who have not opted in'. This setting will also be seen if you press the 'Edit Details' button of an email when viewing an email track.
Copy
Any email or print piece can be copied. Clicking this will create an exact copy of the item in the same Tier. The copy option can be found under the Gear icon on any email or print piece.
Delete
Any email or print piece can be deleted by clicking the delete button.
Status
Once the content of an email has been added, the email can turned ‘On’. Once on, the email will send if the correct scheduling conditions are met. Emails in the ‘Off’ state will never send, even if the scheduling conditions are met.
Email and Print Piece Scheduling
The scheduling of the Tiers is dependent on what type of Campaign and Track the item is in.
All Nurture Tracks
The first Tier of Nurture Tracks sends x days after a student becomes the selected stage(s). The subsequent Tiers send x days after the previous Tier. This scheduling system allows for communications to go out at timely intervals after a student enters a new stage, regardless of when that action occurs. Once a student receives an item from the first Tier, they move into the next Tier. One item must be sent to a student for them to reach the next Tier. A student will never be able to move backwards in the Tiers, nor receive the same print piece or email twice.


All Blast Tracks

The Tiers for all Blast Campaign Tracks have date and time scheduling. Every item in the Blast Tiers will send on the date and time specified for the Tier. Blast emails can be set to repeat sending if the repeat option is set. A student will not be sent the same email or print piece twice. A student may be sent a item from a later Tier without receiving an item from the previous Tier.
Auto-Generated Invitation Tracks

The Tiers for all Invite Tracks have date and time scheduling. Every item in the Invite Tiers will send on the date and time specified for the Tier.
Auto-Generated Signup Reminders Tracks

The first Tier of Signup Reminder Tracks sends x days before the next Event Date. The subsequent Tiers also send x days before the next Event Date.
Auto-Generated Attendee and Non-Attendee Tracks

The first Tier of Attendee and Non-Attendee Tracks sends x days after the Event Date. The subsequent Tiers also send x days after the Event Date. Make sure to use the Event Attendee features of the Event Module for proper recipient filtering.
Custom Event Date Tracks

The Tiers for all Custom Event Date Tracks have date and time scheduling. Every item in the Custom Event Date Tiers will send on the date and time specified for the Tier.
